We spoke to Tracey Walker, Transport Support Manager, about how she has been using CheckPro and the benefits it has given to her and her team.
Before CheckPro what did you use for your defect reporting etc and what problems / issues did you have
“We used defect books and an excel spreadsheet to report defects and monitor their rectification. We would end up with defects not being reported in sequence due to pages being missed, duplicate defects being reported, and then issues where admin error would mean we misreported numbers.
Using the spreadsheet did make it easier on some occasions where we would be able to report and sort costings by damage or maintenance which we can’t currently do with CheckPro but this system is improving when we request changes and they are implemented.
We have a spreadsheet where we would plan all our services, MOTs, tacho recalibrations etc. but this was subject to human error and on occasion a PMI could be missed or be a week late.
We had a paper version of the at scene report for when drivers were involved in an accident. But they would often forget to complete these and we would miss evidence or information required for the investigation.”
Which aspects of CheckPro do you use?
“We use CheckPro for defects, scheduling services, costs, and we have just started using it for services. We are ER recognised and so use this system to report to direct to the DVSA on our servicing and MOT reporting etc.”
How has CheckPro helped?
“Now we can move things into Monitoring we are able to prevent duplicate defects being reported. The emails when vehicles are due service/PMI mean we don’t miss a schedule as it is automatically sorted.
We have a space where all defects can be reported and are given unique identification numbers places for notes and updates to be placed so everyone knows the status of the defect.
There is less duplication of work, once a defect is on the system it can be monitored from start to finish. Drivers are now carrying out meaningful daily checks this helps with monitoring defects and the reporting of new damage.
There is less paperwork reducing the time to file. Certain reports can now be carried out faster, others are new reports that were not possible using a non-electronic means.”
