The Benefits Of DVSA Earned Recognition

A question that is often asked is “Why should we get DVSA Earned Recognition? What’s in it for us?”

The answer is, there are many great reasons to gain Earned Recognition.

What is DVSA Earned Recognition?

Earned Recognition is the DVSA’s preferred route for operators to show their operations are safe & compliant and gives you as operators a simple, hassle-free way to prove the standards of your drivers and vehicles. The added benefit of which is that you can reduce your vehicle downtime.

ER is a voluntary scheme that is suitable for fleets & operators of all sizes and simply requires that your systems include an approved solution for both you vehicle maintenance and drivers hours. The DVSA is them automatically kept up to date that Key Performance Indicators are being achieved using approved systems such as the CheckPro ER Workshop Management System.

The DVSA have also appointed auditors to review operators procedures to ensure they comply and can adhere to the KPI requirements.

Key Benefits of Earned Recognition

Here at CheckPro we believe that ER is the way forward, below we have outlined some key benefits.

1) Your drivers are less likely to be stopped at the roadside, saving valuable time (considering an average roadside stop can take up to 45 minutes)

2) Having regular checks and automatic reports will result in less need for DVSA on site inspections.

3) You’ll have peace of mind in terms of safety & legality knowing that you’re carrying out regular vehicle and driver safety checks.

4) You’ll be able to use the Earned Recognition branding and be considered a top tier operator in the eyes of prospective clients and for any future tenders.

Bulk Group Waste Management – Case Study

Bulk Group Logo

Bulk Group are waste & recycling experts based in Penistone, South Yorkshire. They run a fleet of vehicles & plant machinery and are using CheckPro to perform their daily checks & manage their workshop & maintenance scheduling.

Because their fleet of assets includes various specialised equipment including JCB, Bobcats & Trommels as well as Tippers, it was clear that the standard daily walk around checklists specified by DVSA wouldn’t fulfill their operational requirements. Therefore, when specifying an electronic defect management system, it was imperative that unique, custom checklists could be created quickly & easily.

After looking at various systems on the market, CheckPro was chosen due to its easy to use drag & drop system that lets them create checklists to match their requirements exactly.

They were also impressed by the instant notifications and the way the system lets them keep track of any defects identified during their daily checks without time consuming paperwork.

Diane Carr from Bulk Group said “Things are updated instantly, I can keep a check on drivers start times, it’s quick and easy to find anything without getting folders out. I can add different records to system like Brake tests, LOLER records, tests etc. The system also works well as an asset register.. Quick and easy for anyone in office to use.

As well as our main vehicles, we can also carry out checks on our Operators licence, fork lifts, JCB , Trommel, Brokk, Bobcat, Fuchs and also Site checks. “

At CheckPro we know that not all fleets are the same and there is no one size fits all daily walk around checklist that works for everyone, especially within the waste management & recycling industry. Periodic & Preventative Maintenance Inspections

Periodic Maintenance Inspections

The DVSA Guide to Maintaining Roadworthiness is the main publication that sets out the procedures operators need to undertake in the safety checks and upkeep of commercial vehicles including HGV, Bus & Coach.

A key part of the guide is periodic maintenance inspections (PMI’s) which have clear and concise checklists that outline all aspects of a regular, thorough inspection to be carried out by a workshop technician.

Traditionally these have been carried out using maintenance pads that record important data such as laden roller brake tests, torque records and tyre pressures. Now these paper pads are being replaced with app / software based products such as CheckPro Workshop Management, which records these details and submits a report which can then be actioned where applicable.

Most checks are categorised within 3 levels – Satisfactory, Repair Required & Safety Item whilst other checks such as tyre pressures are measured accordingly. The inspection itself covers similar checks to daily walk around checks with an additional specialised & technical checks.

Regular PMI Checks

PMI checks are carried out on a regular basis and are usually known as 6 weekly checks, although the frequency can be determined between the operator and DVSA.

Some other things to look out for when carrying out PMI checks and ensuring compliance include:

  • When operating a hired or borrowed vehicle, a first use inspection should be carried out.
  • It is also best practice to complete an inspection on a vehicle that has been off-road.
  • When a 3rd party is used to maintain your vehicles, you should always get a written contract detailing all aspects of the inspections & maintenance to be carried out.
  • The transport manager (or other nominated person) should always ensure that sufficient time is allocated to be able to keep up to date with inspections and daily checks, whilst making sure that any reported defects are rectified or in hand.
  • All inspections should be planned in advance with dates recorded to include servicing, tachograph calibration and annual test dates.

For operators, it is important that they continually review and monitor their compliance procedures and ensure they are up to date. Having a full audit trail of all aspects ensures you can be confident not only in your compliance with the law but also the health & safety of your drivers and other operators.

The CheckPro Workshop Management system allows you to confidently implement & record all of the above CMS area and allows for easy tracking of all assets and their respective compliance procedures and inspections.
