Vic Gillespie, Regional Distribution Manager for Scotland & North East spoke to to us about how CheckPro has worked for the Lyreco fleet.
Before CheckPro what did you use for your defect reporting etc and what problems / issues did you have
“Our drivers previously used a paper based report called a Drivers Daily Log and recorded all defects on there.
Next a manager would raise a defect note, 1 copy would stay in the RDC with the manager and the other 2 copies would go with the vehicle to the repairers.
Then, once fixed, the repairer would sign both copies to confirm that the work was completed, they would retain a copy for their files and the other copy would return to the RDC where the manager would match up with their copy and file both copies into the vehicle file. As long as the drivers remembered to log a defect our biggest issue was getting the repaired to sign of that the work has been completed”
Which aspects of CheckPro do you use?
“We have incrementally increased the sections of CheckPro we use.
Starting off, we just used CheckPro for daily vehicle checks then once we got used to completing these we moved onto using it for monthly management checks, then for defect, inspections and now adding and monitoring costs”
How has CheckPro helped?
“Saving time has been the biggest factor. Messing about with bits of paper as the managers had to check each drivers log daily to make sure they have completed their checks etc and then having to sign it off would take up a lot of time and now all the managers can see on their CheckPro dashboard all the live data which makes their life a bit better and gives them more control ”
What features of CheckPro have you found most useful
“We are learning a lot from the dashboard. From where it was at the beginning there has been many features added onto the system which is a massive benefit for all using this system and we/Lyreco have made suggestions to CheckPro which will not only benefit us but other end users as well ”
What other benefits have you found (in terms of costs / time / reduction in paperwork etc)
“All of above is a benefit for us, especially the time factor from a drivers and management perspective. Plus that the managers have a visual on the systems dashboard at all times”
Any other thoughts?
“One area where CheckPro helps is in its flexibility, their development team have taken some ideas we have put forward so that we can expand the use of the system in terms of FORS requirements and we are looking forward to seeing this up and running soon”
“I would also say it has been user friendly and we have been pleased to see the dashboard grow and become even better since first using the system”
